Hi Folks!

We have received numerous requests over the last couple weeks asking for advanced staff restrictions for the Admin section of TheBoxHQ Admin.  We value the feedback of our Affiliates tremendously, and are happy to announce advanced staff restrictions.

Your staff members who have Admin level access can now set a staff or coaches access level based upon a variety of different functions within the Admin.  These additional restrictions all related directly to the menu items that are available in the Admin.   The advanced restrictions are:

  • Can access member list
    • Default: Can Access
    • Turning this off will not allow the staff member access to your member list, they will not be able to add new members, etc.
  • Can access member details
    • Default:  Can Access
    • Turning this off will not allow the staff member access to any of your members profile details within the admin.  If they lookup a member in the admin they will receive a blank page.
  • Can access staff
    • Default: Can Access
    • Turning this off will not allow the staff member to view any of the staff information, and will additionally not be able to schedule personal coaching sessions.
  • Can access schedule
    • Default: Can Access
    • Turning this off will not allow the staff member access to the calendar, and will not allow them to update any of the settings of any of your classes, including changing the coaches of a class.
  • Can access messaging
    • Default: Can Access
    • Turning this off will not allow the staff member access to the email and text messaging functionality of TheBoxHQ admin.
  • Can access memberships
    • Default: Can Access
    • Turning this off will not allow the staff member to view and/or update your membership plans and membership discounts.
  • Can access events
    • Default: Can Access
    • Turning this off will not allow the staff member access to your Competitions, Seminars, and weight-lifting meet details in TheBoxHQ Admin.
  • Can access store
    • Default: Can Access
    • Turning this off will not allow the staff member access to TheBoxHQ’s Store Point-of-Sale system.
  • Can access reports
    • Default:  Can Access
    • Turning this off will not allow the staff member to run any of the standard reports within TheBoxHQ Admin.  The Income Reports are always only accessible by Admins.
  • Can access affiliate settings
    • Default:  Can Access
    • Turning this off will not allow the staff member access to update your Affiliate settings, such as your default from email, your tax rate, etc.

Accessing and Setting the Staff Member Advanced Restrictions

To update the advanced restrictions for a staff member, lookup the staff member and go to their Profile within TheBoxHQ Admin.   Click on their “Staff Info” tab.   Their staff info tab has a button, outlined in the image below, labeled:  Set Advanced Access Restrictions:

Clicking on the button will open up the settings page where you can set the fine grained advanced restrictions as described above.   A screenshot of this page is below:

Once you have un-set the settings you wish to change by checking/unchecking the appropriate checkbox, click the ‘Update Access Settings’ button.  The staff member will no longer be able to access those sections of TheBoxHQ Admin.
